EXECUTIVE ASSISTANT/OFFICE MANAGER
General Description:
A bicycle painting facility is now looking for an Executive Assistant/ Office Manager for a full-time job.
As Executive Assistant/ Office Manager you will play a key role in organizing all of the administrative activities that facilitate the smooth running of the team and reporting to the Deputy General Manager and General Manager.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.
You must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting our production team.
Core responsibilities:
• Key contact person between different departments; take care of visitors; organize meetings arrange appointments, write meeting notes.
• Provide assistance related to HR processes. To maintain files and policies as necessary, preparing payroll. Ensure that health and safety policies are up to date
To create, update and post hiring announcements on the recruiting websites, newspapers or other recruiting sources.
• Coordinate with IT department on all office equipment and IT related processes; maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
• Manage relations with suppliers, service providers, ensuring that all items are invoiced and paid on time, manage contract and price negotiations with local suppliers. Provide support related to the bookkeeping records; manage G&A budget, ensure accurate and timely reporting.
• Keep management informed by reviewing and analyzing special reports; summarizing information, delivering presentations, translations
• Ensure and contribute to a positive climate
The time of Office manager would be divided between the office, production areas and on the field.
Education and work minimum requirements:
• Proven office management, administrative or assistant experience
• Proficiency in MS Office, particularly advanced in Excel
• Romanian fluent;
• English advanced to fluent;
• Experience in HR management (is an asset)
• Driving license is an advantage

• Reliability;
• Ability to meet targets and deadlines, planning and data analysis;
• Ability to write reports, accurate records keeping and an attention to details;
